How Do I Write a Complaint Letter?

The important thing to remember when writing a letter of complaint is that you must be clear and concise, not ranting and raving. Vulgarity will get your letter nowhere, except maybe crumpled in the trashcan. People and companies will take your input much more seriously if they can see the reason in it. It is fine to be direct about your issue, just do not take it to the insulting extreme.

Most companies do want to hear what you have to say, both good and bad. You must act on the assumption that they will try to take action based on your input. So, when you are writing your letter:

• Know the dates and locations of the incident
• Know the names of any people involved
• Describe the incident (try to keep it short, details are important, but this is not a novel!)
• Express in succinct wording why the incident was unsatisfactory to you
• Express what steps you would like taken to rectify the problem

If you leave the letter open-ended, the recipient may not know what you need/require to satisfy you. Then you may be left more unsatisfied because they did not take the steps you believed necessary to fix the situation. So let them know what happened, how it affected you, and what you would like to see happen to rectify the situation.
